“Programs with Pending Occurrences” Filter Added for Reporters
-
Reporters can now use the Filter Programs field to limit the entries displayed
on the Programs page to only those with pending Occurrences (or Programs)
they themselves created. This makes it much easier for Reporters to
quickly find their existing pending Occurrences when correction or further
editing is needed, or when it’s necessary for more Occurrences to be added.

Multi Directory of Goals:
Same data as the Director of
Goals – Summary report for single sites, but now with a
column for Reporting Unit name after the Goal Title column

Multi Directory of Indicators:
Same data as the Director of Indicators report for single sites,
but now with Reporting Unit name as the first column on the report

Favorite Reports Menu Now Available!
-
We’ve added the Favorite Reports Menu as a new
selection under Defaults to empower any user to
create their own personalized menu of up to 20
preferred reports. Upon opening the menu,
the user will then just check the boxes next to their favorite reports on the screen and
click
Save
to confirm. Those chosen reports
will then be readily available for that user
under their Favorites Menu List option at
the top of their Reports and Listings drop menu.
Reports selected for this menu can then
be removed by the user at any time.

Multi-Unit System Administrators Can Now Lock or Close Fiscal Years
for Multiple Reporting Units Simultaneously

System Administrators for Multi-Unit Organizations now have
the option to save time and hassle when locking or
closing fiscal years by selecting multiple reporting
units at once for either operation. For the full scoop

Moving Multiple Occurrences Now Permitted!

Occurrences no longer restricted to only being moved individually.
They now can be multi-selected and moved en masse from one
Program to another, and/or (for multi-unit Organizations)

the Save and Link button to the Occurrence screen, which
enables you to link your Occurrence as needed, AS you’re

Hold on to Your Mouse – The Occurrence Web Form is Here!

You wanted it, you’ve got it! For users with staff members
having key community benefit data to enter, but not a CBISA™
user account, the Occurrence Web Form provides a means by
which those staffers can enter that data without first needing
access to - or training for - the full CBISA™ software platform.
Data entered by way of the Web Form is immediately sent upon
completion into the CBISA™ database as a pending Occurrence,
awaiting review and import by a CBISA™ System Administrator or Coordinator.

And Hark! Notification to Alert You of an Improved Notification Alert

On the Financial Defaults screen, the alert message prompted by entry of
an Indirect Percentage greater than 1.0 has now been modified to
include clearer verbiage to better explain its meaning.
The message now reads, “Warning: You’ve entered a percentage over 100%”

Secure for Sure! Optional Two-Factor Authentication (2FA) is HERE!

For those who want it, we now offer the option of two-factor authentication
for logging into CBISA™. Just go to Defaults>Users, find and highlight
your user name line, click Edit and then check the 2FA Authorization box.

Upon next login attempt, click the prompt to have verification code emailed to
applicable email address that appears in the Email field above.

Check Inbox for code arrival, and then enter code as instructed into the
provided field to complete the login process.

Any user can select this option, but users only have the option to
select it for themselves, the selection cannot be made for other users.

The Digits are BACK! By Popular Demand, Reports Are Now Numbered Again

Many folks have reached out to us wondering why reports haven’t been
numbered in the new version of CBISA™ as they had been in its earlier
version. The simple reason for this is because the migration provided
an opportunity for us to add new reports while re-examining some
existing reports, which then led us to consider more deeply how we might
want to arrange them all as we began moving forward in the new platform.
Now that the dust has settled, and the reports are comfortably in place
where we feel they belong, we’ve decided it’s now time to rightly
dignify our reports with some proper numbering. Enjoy!

“What the– Who Imported This Occurrence??” “Imported by”
User Name Now Included on Occurrence Screen, When Applicable
-
For Occurrences entered by Reporters and then imported
by Coordinators or System Administrators, lines
have now been added to indicate who imported the entry
and on what date. This feature has been added in
response to requests we’ve received from some
System Administrators who’ve told us the additional
information would help better illustrate for them who
in their organizations have been responsible for
overseeing what. Let accountability REIGN!!

Partnership Types Added
-
Partnership Type is now available as an additional field
for entries made in the Partnerships module. The field
has been added to provide users a clearer way to indicate
the primary function of the partner itself, and with it,
the intended purpose of the Partnership that’s been created
with said partner. In time, Partnership Type will be
added to a number of applicable reports to help users better
visualize which Partnerships are assigned which Partnership
Types, how their numbers may compare between them, etc.
Partnership Types can be found in the Defaults menu as a
list of standard selections, which can then be expanded
in accordance with each organization’s specific needs
and preferences.

2014 and 2015 Data Cleared to Accommodate Incoming Future Years
-
Out with the old, in with the new! To make room for the addition of upcoming fiscal
years in the CBISA™ database, old years outside the IRS’s seven year window of
audit reach need to be removed accordingly. With fiscal year 2025
availability needed in the near future for many client organizations,
the time has come to remove data from both 2014 and 2015 to make room for it.
We held 2014 in place for an extra year to accommodate the ongoing migration to
our new software platform, which has now come to an end. Therefore,
the addition of new fiscal years in the future will only result in the
removal of ONE old year at a time, and not two.

For our veteran client organizations, do recall that this does not mean
your 2014 and 2015 is completely GONE. It is still safely archived,
in its entirety, in your old “cbisaonline” platform – available for you
whenever you may need it. If you ever need help accessing your old

The “View Extended Report” option available for some Occurrence reports provides extra
columns for staff and volunteer hour listings!

The History Panel is available at the bottom of your module screens.
Just click the small white square in the lower right corner the
window to activate it. When clicked, a grid will appear that
displays a record of all activity performed for that entry.

As mentioned above, we continue to make further improvements to the export feature in Reports & Listings.
If you are displaying and exporting financial data reports (Programs, Summary, Statistics -
single and/or multi reports), the best option for export may be CSV. You will notice
some formatting and merging of cells is present in XLS and XLSX files which may require
additional manipulation of data to obtain your desired results.

Error 500 Screen Overhauled to Include Brief Explanation and Helpful Instructions
At one time or another, some of you may have received an “Error 500” message in CBISA™,
with no guidance as to how best to proceed from there. Going forward, in the event you
ever DO incur an error message in the software, it will now come conveniently equipped
with a short list of easy steps to quickly correct the issue and move forward with your work.

New Statistics Report Added: Occurrences – Elements of Offsetting Revenue
Similar to Elements of Offsetting Revenue, but with Occurrence data
added for each applicable Program

Statistics Reports Menu Reorganized for More Logical Flow

Elements of Cost and Elements of Revenue Reports Have MOVED!
Both reports are now located in the Programs report menu, as neither report
includes any Occurrences data as other Statistics reports do.
Move applies to both single site and multi-unit reports (where applicable).

Audit Report Added for State Reporting!
For users in states where additional state reporting is required, a new report has
been added to enable users to verify their Programs were properly coded upon entry.
The report is a simple list that includes Program Title, Category and applicable
State Code, and will save users the hassle of checking each Program for coding onscreen.

Not New, But Helpful Tips for Better Speed!
-
Change the Page Size setting (lower right corner) to a smaller number, like 20 or 10.
This reduces the amount of data the software has to process when
moving from one screen to the next.

Use your “sort/search/filter” fields (blank fields at the top of most columns) where applicable to
minimize search time. This move actually works well with the first tip.
For example, if you need to enter an Occurrence for a Program starting with “S”, don’t scroll
from page to page looking for the Program – just enter the first word (e.g. “Surgical”)
into the “sort/search/filter” field atop the Title column and the software will
do the scrolling for you! Also note the fields that have the little funnel-looking icon
to the right of them have additional sorting tools for the
field - “begins with”, “contains”, etc. – that provide even more granular search results.

PLEASE NOTE: The “sort/search/filter” fields remain populated until you
manually clear them out. This means if you use them and then log out
without returning them to their normal empty status, the filtering
criteria will remain in place the next time you log in, and may
very well leave you wondering where all your other entries went!
No real harm done when it happens, but it’s certainly a startling
jolt you can well live without.

The Contributor User Level has been created to help
bridge the functionality gap between a Reporter and a Coordinator.

Contributors CAN:
- Input data that requires no importing by a Coordinator or System Administrator
- Complete data input for records initiated by a Coordinator or System Administrator
- Edit active records created by Reporters

Contributors CANNOT:
- Add New Programs
- See Rates
- Manage Users
- Access Financial Services
- Import Pending Records

We’ve added a feature enabling you to import departments into an
empty Department table, or to append an existing table with new Departments.
It works in much the same manner as our Financial Services
